1. Who we are
This Privacy Policy explains how Courtoo (“Courtoo”, “we”, “us”) collects and uses personal data of visitors to our website at courtoo.com (the “Website”).
For the purposes of the EU and UK General Data Protection Regulation (“GDPR”), Courtoo is the data controller of the personal data described in this Policy.

This Policy covers data collected through the Website. Personal data processed inside the Courtoo platform on behalf of our club customers is handled under a separate data processing agreement, in which the customer is the controller and Courtoo is the processor.
2. What personal data we collect
Data you provide to us, for example when you fill in a form, request a demo, or contact us:
- name and surname;
- business email address;
- company / club name;
- phone number;
- any information you include in a message.
Data collected automatically when you visit the Website:
- IP address and approximate location;
- device and browser type, operating system;
- pages viewed, referring URL, time and duration of visit;
- data collected through cookies and similar technologies (see Section 6).
3. How we use your data and our legal bases
Under GDPR Article 6 we rely on the following legal bases:

Where we rely on legitimate interest, we have balanced that interest against your rights and are happy to explain the assessment on request via office@courtoo.com.
4. How we collect data
We collect data directly from you (when you submit forms or contact us), automatically (through cookies and server logs), and from third-party tools we use to operate the Website (for example, analytics providers). The active tool list is mirrored in Section 6.
5. Marketing
If you have asked to receive updates or marketing from us, we will send them on the basis of your consent. You can unsubscribe at any time using the link in each email or by contacting office@courtoo.com.
6. Cookies and similar technologies
We use cookies and similar technologies to make the Website work, to remember your preferences, and to understand how the Website is used. Non-essential cookies (such as analytics and marketing cookies) are used only with your consent, which you can give or withdraw through our cookie banner / settings.
A current, itemised list of cookies and the third-party tools that set them is available on request from office@courtoo.com and will be published as a dedicated Cookie Policy once the consent management tool is in place.
7. Who we share data with and where it is processed
We share personal data only with:
- service providers (sub-processors) that help us run the Website — including hosting, analytics, CRM, and email providers;
- professional advisers (lawyers, accountants) where strictly necessary;
- authorities where required by law.
We do not sell your personal data.
We use internationally distributed hosting and sub-processors. Where personal data of EU/UK individuals is transferred outside the EEA/UK to a country without an adequacy decision, we put in place appropriate safeguards — typically the European Commission’s Standard Contractual Clauses (SCCs) and, for the UK, the International Data Transfer Addendum. You can request a copy of the relevant safeguards, and the current sub-processor list, from office@courtoo.com.
8. How long we keep your data
We keep personal data only for as long as necessary for the purposes described in this Policy:
- enquiry / demo data: for the duration of our discussions and a reasonable period afterwards;
- marketing data: until you unsubscribe or withdraw consent;
- analytics data: for the retention period configured in the relevant tool.
We then delete or anonymise the data, unless we are required to keep it longer to comply with a legal obligation.
9. Your rights
Subject to applicable law, you have the right to: access your personal data; request correction or deletion; object to or restrict processing; withdraw consent (without affecting prior processing); and request data portability. To exercise any of these rights, contact office@courtoo.com.
If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection supervisory authority.
10. Your California privacy rights
If you are a California resident, you have the right to know what personal information we collect and how we use it, to request deletion or correction, and to opt out of the “sale” or “sharing” of personal information. We do not sell personal information for money. To exercise these rights, contact office@courtoo.com. We will not discriminate against you for exercising your rights.
11. Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
12. Children
The Website is not directed to children and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact office@courtoo.com so we can delete it.
13. Third-party links
The Website may link to third-party sites that have their own privacy practices. We are not responsible for those sites, and we encourage you to read their privacy policies.
14. Changes to this Policy
We may update this Policy from time to time. The current version will always be posted on the Website with a revised “Last updated” date.
